Defining a "Note" vs. a "Task" in your Contact Manager

  
  
  
  
  
  
  

We often get many of the same questions from our subscribers, and we will take these common questions and create knowledgebase articles on them so that other subscribers that might have the same question can easily search for and find this information when they need it.  We organize and store all of this information in our support suite that can be accessed when you need it. (24/7)  Included is a link to our support center.   You can always access this directly while logged in to BigContacts by selecting the "Support" tab.

We just released some new enhancements for "writing a note" and "logging a call" in our contact management software.  One of the many enhancements is that we increased the security and integrity of note taking for your contacts.  When a note (or a call is logged) is written, we place a date and time stamp on the note or call, and now we ALSO make that note permanent.  It can no longer be altered/ edited as this would diminish the integrity of this date and time stamped history item.

We have received a great deal of feedback on this and most subscribers are very happy to see that we are putting measures in place to further secure and protect the quality and integrity of the history they are generating as they work with their clients and prospects.

In the process of rolling out these enhancements, we realized that there may be some confusion on the definitions of and best practices for what constitutes a "Note" and what might be better thought of as a "Task".

A "Note", by definition is "a brief record of something written down to assist the memory or for future reference."  At BigContacts, we originally designed the "write a note" function to do just that.  This function is designed to record a single item for reference in the future if and when needed.

A "Task", by definition is "a definite piece of work assigned to, falling to, or expected of a person; duty."  Tasks usually involve multiple steps and several notes to properly document and ultimately complete.

If you have used the "write a note" function in the past to record multiple entries over time, we would like to suggest that you use the "Assign a Task"  function. Why?  What can you do with this function that you COULD NOT do with the "Write a Note" function, and why would this be better for you?

The Task function is designed to accommodate multiple entries. You can easily create a task,

add notes over time

Adding notes

and then when you are done adding notes/ activity to this task, you can then save/close it. 

Closing your Task

When you close the task it now becomes a part of the permanent history and is read only.

Task History

What is great about this method is that while the task is still in progress and you still need to add notes to it, it is not buried amongst all the other history items.  Instead the task (while still open) is prominently displayed in the "pending tasks" folder...making it very easy to locate and edit as needed.

Give this method a try.  We think you find this to be a more effective and efficient method for compiling multiple "notes" that pertain to one subject/ project.

I really appreciate each step you are taking to improve this system over the last 2 years. It's really getting quite good. Still very reliable.  
Security is a key. You already added a logging feature to identify who changed the reoord. Helping track calls so no one can change it later is a solid feature - very professional.

I am glad to see that it will date and time stamped. In the event that records are needed for any possible arbitration, permanente records with the date and time and not able to be edited would be key to a defense. 15 years and never had that issue, but you never know! Great enhancement. Thank you!

Big bummer on the inability to make changes to notes. I can understand data integrity and a need for it; however, I also need a place to put notes for a record that may need to be changed over time. Like when the best time to reach them is or account# changes or things that are suited for the notes. I definitely don't want to put those things in my tasks. Already stressed by too many to dos - can't imagine adding my notes to more things to do. :(

My suggestion would be to make this configurable by the admin to choose who they'd allow to make changes to the notes/call logs. I want data integrity, but I don't won't wrong data either. As master of my domain and king of my castle, If someone made a mistake or if I want to update something later on that is tied to the same note/call log, I as the admin and owner of my db would like to be able to modify it.

Its good to hear from you. Thank you for the feedback. We are constantly looking for ways to improve the system and appreciate your insights. 
 
One thing you might not be aware of that I would suggest trying is the "comments" section. This is essentially a notepad for each contact record that allows you to note information just like you are referring to. You can find the comments section as follows: 
 
1) Go to a contact record that you wish to add a note for 
 
2) Select the "Edit" button in the upper left hand corner of the screen. 
 
3) Make sure the "personal information" tab is selected and look to the bottom right of this popup and you will see the "comments" section. 
 
All comments that are added here are even more visible than they were when adding them in the "notes" section. After you save your comments take a look at the bottom of the contact record itself and you will see this information in clear view for you here. 
 
This makes your important notes very visible. The other great thing about this is that it is very easy to edit.  
 
Go ahead and click directly on the text and it will instantly go into edit mode - making it very quick to add/ edit information here. When done, make sure to click on the green check mark and your new information is saved.  
 
Give this a try and let us know how that works out for you.
